Getting Things Done (GTD) Workflow
The methodology behind Fokus—how capture, process, reflect, and engage fit into one trusted workflow.
This is the methodology behind the machine.
You can have the fastest car in the world, but it won’t help if you don’t know how to drive.
The same is true for productivity apps: Fokus isn’t just a list of features—it’s a system designed to support your way of working.
This guide introduces a lifecycle of work inspired by Getting Things Done (GTD), and shows how Fokus helps you run that cycle day-to-day.
This workflow is built on David Allen's Getting Things Done methodology—a proven system for managing tasks and achieving stress-free productivity.
The Cycle of Productivity
True productivity isn’t about “doing more things.” It’s about having a trusted system so your brain can focus. The workflow has five stages:

Capture: The Art of the Brain Dump
Your brain is for having ideas, not storing them. Trying to remember tasks creates anxiety and distraction. Get 100% of your open loops out of your head and into a trusted Inbox.
Process: Clarify & Organize
An inbox full of vague items like “Project X” or “Mom” leads to procrastination. Processing means making decisions now so execution is easy later: Is it trash? Is it a project? Does it need a date?
Reflect: The Weekly Review
Life changes faster than your plan. If you don’t review your system, it goes stale—and you stop trusting it. Reflection is a weekly ritual to clean up the mess, update your map, and plan the week ahead.
Engage: The Art of Doing
This is where “analysis paralysis” shows up: staring at a long list and not knowing where to start. Engage means choosing the right task for this moment based on context, time, and energy—then doing it.
Which Productivity Profile are you?
Not sure where to start? Identify your current struggle:
| If you feel... | Start with this Guide | Why? |
|---|---|---|
| Overwhelmed & Anxious | Capture | You need to stop the noise in your head immediately. |
| Stuck / Procrastinating | Process | You are likely stuck on vague tasks that need defining. |
| Out of Control | Reflect | You need to zoom out and look at the big picture. |
| Busy but not productive | Engage | You need to stop multitasking and focus on the task at hand. |
